Presenter Checklist

The conference is a little over a week away and we are so thrilled that you will be sharing your work with the IM4US community! The information below will help you prepare for your session.

Check in at the IM4US registration desk in the foyer of GW Ross Hall School of Medicine least 1 hour before your session. This allows plenty of time to get through Ross Hall's security and for you to locate your classroom, which may be in a different building. Let the volunteers know that you will be presenting and they will direct you accordingly.

Bring your PowerPoint or Keynote presentation to the conference on a thumb drive or external hard drive in its original or native file format--not PDF. You may also present from your laptop, but you must bring your own adapters in case your computer is not compatible with AV equipment. Bring a back up thumb drive with your presentation on it just in case.

  • Pro Tip: if your session involves mutliple speakers with their own slides, combine them into one master file to smooth the transition between speakers.
  • Do you have handouts? If so, please bring your own copies--IM4US will not be able to print anything for you on site.

Report to your assigned classroom/auditorium at least 15 minutes prior to your session to load your presentation onto the provided laptop. We only have one dedicated AV person for the conference, so if you are able to set up your slides without assistance, please do. AV staff and volunteers will be making rounds, so stay in your classroom and someone will check in to see if you need assistance.

  • Pro Tip: If you are doing a breakout session, lunchtime on Friday and Saturday is an excellent time to set up your presentation.

AV Equipment & WiFi: Classrooms are equipped with WiFi, laptop, projector, speakers and microphone. Any other specialized equipment will need to be provided by the speaker.

  • Pro Tip: Wi-Fi is available, but the speed and quality cannot be guaranteed. If you plan to show videos, you may want to download the video to your thumb drive or external hard drive just in case WiFi is slow or spotty.

Take a look at your session on the Interactive Schedule Builder to make sure all the information is accurate and also to see a list of attendees who are planning to attend your session!

  • Have you bought your ticket to attend the conference yet? Last day to buy tickets is Sunday, June 17th, 2018.
  • Be sure to review the Attendee Checklist tab for helpful tips for attendees (more info will be added as it becomes available)
  • Have you downloaded the conference mobile app yet? If not, there's still time!
  • Upload a profile photo so attendees can find you on site!

If you have questions regarding your participation, please email This is a very busy time for us here at IM4US, so we may not be able to respond before the conference. If you still have questions when you arrive on site, the volunteers at the registration desk can assist you.

If you have an urgent, last minute issue preventing you from being at the conference, please contact Jessica Aebi, IM4US Program Manager, at (415) 890-4641.

Safe travels and see you in a few days!
